Name the first payment precisely
Do not translate both zaliczka and zadatek as an interchangeable “deposit”. A zaliczka is a payment on account; its settlement depends on the agreement and events. Under the default Civil Code art.394 rules, zadatek can be retained or claimed double following qualifying non-performance by the other party and withdrawal; performance credits it, while dissolution or neither/both parties’ responsibility leads to return without doubling. Different contractual terms or custom can affect that default.
This is a reason to specify the intended payment and obtain advice on disputed terms, not a promise that every cancellation produces an automatic refund or double payment. Record the purpose, gross amount, recipient, payment date, crediting method and arrangements for materials bought before work begins. Do not send money solely because a slot is said to be available.
Tie stage payments to defined evidence
For this independent Warsaw example, assume a PLN 60,000 gross base contract and a PLN 6,000 advance credited against that price. The following is a proposed contractual payment schedule, not a statutory percentage requirement. The cumulative stage values include earlier stages; they are not additional invoices to add in full.
| Payment event | Cumulative value | Previously paid | New transfer |
|---|---|---|---|
| Agreed advance, credited to price | 6 000 | 0 | 6 000 |
| Verified first stage | 18 000 | 6 000 | 12 000 |
| Verified second stage | 42 000 | 18 000 | 24 000 |
| Base scope complete | 60 000 | 42 000 | 18 000 |
After the second work stage, total transfers are PLN 42,000: 6,000 + 12,000 + 24,000. The contractor should identify the completed scope and evidence supporting the stage. Record delivery separately from installation and inspection. Agree how advances for stored or bespoke products are protected and evidenced; elapsed time alone does not explain what has been supplied.
Approve changes with both a debit and a credit
Give each change a number, reason, scope, drawing revision, gross price and time effect. Include the credit for work or products removed from the baseline. A material purchase receipt alone does not establish that the owner authorised a more expensive scope. Keep emergency arrangements clear so necessary protective action can be documented promptly.
| Account line | Amount |
|---|---|
| Original crew contract | 60 000 |
| Accepted extra work | 3 200 |
| Credit for omitted work | −1 200 |
| Revised crew price | 62 000 |
| Crew payments already made | 42 000 |
| Crew balance before any agreed retention | 20 000 |
| Owner purchases outside crew contract | 18 000 |
| Fees outside crew contract | 2 000 |
| Separate logistics | 1 500 |
| Unspent general reserve | 5 000 |
| Whole-project funding provision | 88 500 |
| Total already paid across project | 49 000 |
| Cash still to provide including reserve | 39 500 |
Reconcile the project, not only the crew’s balance
The PLN 49,000 already paid consists of PLN 42,000 to the crew, PLN 6,000 against included owner purchases and PLN 1,000 of included fees. This leaves PLN 39,500 to provide against the PLN 88,500 forecast. Of that remaining provision, PLN 5,000 is still an unspent reserve rather than an invoice currently due.
The last PLN 18,000 transfer in the base schedule becomes a PLN 20,000 balance after the approved changes, subject to the agreed payment terms. Do not pay both figures. Likewise, a supplier advance of PLN 6,000 against a PLN 18,000 order leaves PLN 12,000 on that order; it does not make the purchase cost PLN 24,000.
Keep uncertainty distinct from authorised spending
A reserve belongs to the funding plan until a decision turns part of it into an actual commitment. If a PLN 900 gross extra is accepted and funded from the reserve, increase committed work by PLN 900 and reduce the reserve to PLN 4,100. The total provision stays PLN 88,500. If you preserve the reserve, the provision rises to PLN 89,400 instead.
Track invoice, acceptance and bank-payment status in separate fields. A receipt request, a stage claim and a completed transfer are different events. Investigate mismatched account details through a known contact before paying, and keep supplier refunds visible until received.
Close a stage with a traceable record
- Match the claimed stage to the agreed scope and evidence.
- Apply advance credits and previous payments.
- Add accepted changes and subtract omissions.
- Record any disputed amount and its reason.
- Transfer the amount due under the agreement.
- Update committed cost, paid total and remaining reserve.
Reno Pro can hold the work stages, purchases and recorded transfers in one place. The controlling documents remain the agreement, accepted changes and supporting records. The useful figure is the expected whole-project cost together with the amount still unpaid, not just how much has left the bank.
