Match purchases to the work
Buying solely because of a discount is awkward when final measurements and the installation system are still undecided. Agree the work and material requirements with the contractor first, then quantities and dates. Each purchase needs a place in the plan: the room, operation and date it serves.
Separate selection, ordering and delivery. Choose a concealed mixer before service rough-in, but bringing all the furniture at the start is not necessarily helpful. Space, room humidity, damage risk and storage requirements affect timing.

| Field | Purpose |
|---|---|
| Material and exact product code | Avoid confusing similarly named products |
| Room and task | Know who will use it and when |
| Quantity and sales unit | Keep m², boxes, bags and pieces distinct |
| Who approved the quantity | Identify responsibility for measurements, layout and allowance |
| Price and validity | Expected amount and confirmation date |
| Seller and documents | Know whom to contact about supply and returns |
| Selection / ordering / delivery | Three separate dates |
| Received / used / remaining | Track material movements |
“Ordered” does not mean “paid” or “received”. If a trade is waiting for goods, check confirmation that they are ready for collection or delivery. Epicentr’s information treats confirmation and actual availability as a separate step.
Quantity: area, allowance and boxes
For a teaching example, suppose 28 m² needs covering. Following the agreed layout, the contractor allows 7% extra: 28 × 1.07 = 29.96 m². If a box covers 2.2 m² and the seller supplies whole boxes, you need 14 boxes, or 30.8 m². The 7% was chosen for this example; it is not a universal standard.
Record both the coverage area and number of boxes. For tiles, check batch, shade and calibre where specified by the manufacturer. For paint, record the base, colour code and conditions for reproducing the shade. For mixes, check the exact application, pack size and expiry date. An extra bag of a different product is not necessarily an acceptable substitute.
Compare a complete delivered order
| Item | Seller A | Seller B |
|---|---|---|
| Material | 30.8 × 420 = 12 936 | 30.8 × 440 = 13 552 |
| Delivery | 1 200 | 300 |
| Agreed carrying upstairs | 600 | 600 |
| Total | 14 736 | 14 452 |
B has a higher price per m², yet the complete order is UAH 284 cheaper here. Also check minimum order, delivery window, unloading and charges for repeat visits. “Delivery” can end at different handover points; establish where the service actually stops.
Schedule supply around site readiness
- Agree the latest required-on-site date with the contractor.
- Work backwards by the confirmed supply lead time plus receiving and order-correction time.
- Check the storage location and carrying route are ready.
- Confirm availability, contents, price and recipient before payment.
- If a stage moves, rearrange delivery immediately rather than waiting for the vehicle.
Follow the selected manufacturer’s storage instructions. EGGER documentation, for example, specifies conditions for preparing flooring before installation. This does not mean every floor can be installed straight after delivery or stored the same way. Ask the contractor to confirm the requirements for your product.
Receiving goods, defects and substitutions
Agree in advance who checks product code, quantity, visible condition, batch and documents. If a trade receives the order, give them the final specification. Link packaging photographs and delivery problems to the order instead of leaving unexplained images in a general gallery.
A substitution needs more than a colour and price check. Dimensions, system compatibility, installation and warranty conditions matter. Record the original and replacement codes, price difference, work implications and approval by the responsible people. An approved substitution should not leave both products in the budget as future purchases.
Surplus and returns without imaginary income
Count unused materials with the contractor after each stage. Separate stock usable for later work, an agreed spare for future repairs, possible returns and unusable remnants. Record storage locations: spare boxes in another apartment can easily lead to repeat buying.
Before buying, check your seller’s conditions: packaging, product condition, documents, deadlines, exceptions for cut or bespoke goods and transport costs. One chain’s policy is not a rule for all sellers. Record the seller’s acceptance of returned goods separately from the actual refund. An expected refund does not increase available funds; count it after the money arrives.
Use Reno Pro to organise materials by stage and record actual payments; keep order and return documents nearby. If the crew’s materials originally included the purchase, agree its removal in writing before paying for it yourself.
